ChatGPT prompt to summarize a long client email or Slack thread

This is the prompt we use to pick up a client account without rereading three weeks of back-and-forth. It turns a long email or Slack thread into a handover summary, with one core rule: the AI only summarizes what was actually said. When a commitment or a date appears nowhere in the thread, it flags that instead of inventing one.

The prompt to copy

Summarize this email/Slack thread for someone taking it over: current state in 3 lines, what we've committed to, what they've committed to, unresolved tension or risk, recommended next message. Thread: {paste}

Replace the field in curly braces: paste the thread as-is, in order, with the email headers or Slack handles. There is nothing to clean up first.

When to use it

At a handover, when a colleague goes on leave or changes role, or when you reopen a stale thread you no longer recognize. It is the work nobody enjoys: rereading to find who promised what. The prompt brings it down to three minutes of reading, and more importantly it separates the settled facts from the still-open questions.

What you get back

1. The current state of the account in 3 lines, ready to share in a team standup.
2. What your side committed to, and what the client committed to, kept separate.
3. The unresolved tensions or risks, the ones that get buried in a long thread.
4. The recommended next message, ready to adapt.

Real example: three-week thread → handover note

Input: at Brightside Studio, an 8-person brand agency, Lea goes on leave for two weeks and hands the Fernhill Coffee account to Tom. She pastes the last three weeks of the thread, emails and Slack mixed together.

Output, the part that matters:

Current state Packaging redesign in progress, direction B signed off by the client. Copywriting is waiting on one last review from their side. Mood is good, but the client has chased twice on the visuals.

Our commitments: deliver the 2 warmer-brown variants, resend the brand-guidelines PDF they lost.

Their commitments: approve final copy, confirm the phase-two budget.

Unresolved tensions: the client expects the new visuals “soon”; no date was given in the thread → deadline [not stated in thread]. Nail this down on day one.

Recommended next message: acknowledge their latest chase, give a firm date for the visuals, ask again for the approved copy.

Notice what the AI did not do: it invented no date for the visuals, because nobody wrote one. The [not stated in thread] marker points to exactly where Tom has to step in. That is the prompt working, not failing: a handover that hides the gaps is worse than one that names them.
