ChatGPT prompt to announce a change to your team

This is the prompt we run to announce an internal change: a new process, a new tool, a rule that shifts. Its core rule: it explains the why in one honest sentence, no corporate spin, and states clearly who must do what and by when.

The prompt to copy

Draft a Slack message announcing this change to a {N}-person team: {describe change and why}. Structure: what's changing, why (one honest sentence, no corporate spin), what each person needs to do and by when, where to ask questions. Max 120 words.

Replace the fields in curly braces (team size, the change and its reason), then run it.

When to use it

Whenever an internal decision affects how several people work: moving to a new tool, changing an approval flow, a new rule on time off or expenses. The prompt avoids the classic trap of the announcement that explains everything except what each person concretely has to do.

What you get back

  1. A Slack message, 120 words max, ready to paste.
  2. What’s changing, up front, no preamble.
  3. The why in one straight sentence.
  4. Who does what, by when, and where to ask questions.

Real example: raw decision → Slack announcement

Input: a note from Maya, who runs Brightside, an 8-person agency. The change, as-is:

we're dropping email for meeting notes, moving everything to Notion. reason: emails get lost, nobody finds them. starts Monday. Léa shows the template to whoever wants it.

Output, the part that matters:

New home for meeting notes 📁

What's changing: from Monday, all meeting notes go in Notion, not email.

Why: emails get lost and nobody finds them two weeks later. Notion keeps everything in one place.

What you do: from Monday, drop your notes into the Notion space. Léa will demo the template for anyone who wants it.

Questions? Right here, in thread.

Notice what the AI did not do: it invented no slicker reason than the one given, and added no deadline the note did not contain. The only date, Monday, comes from the input. This is an honest announcement, not a coat of paint.

The full variants, for a tool change, a process change, or a rule change, ship inside the kit.

Frequently asked questions

Does this prompt work with Claude or Gemini?
Yes. It depends on no ChatGPT-specific feature: paste it into Claude, Gemini, or Le Chat and you get the same announcement message.
Why does the prompt insist on "one honest sentence, no corporate spin"?
Because an internal announcement that dresses up the real reason backfires. The prompt demands a straight explanation of the why; it will not fabricate a justification if you do not give one.
How long is the message, and can I control that?
It caps at 120 words by design, so the announcement stays scannable in Slack. Change the number in the prompt if you need shorter or longer, but shorter is usually better for internal notices.
