ChatGPT prompt for writing the follow-up email after a meeting

This is the prompt we run right after a meeting summary, to turn it into the follow-up email for the client or the team. Its core rule: it adds nothing that was not in the summary, the next-step date included.

The prompt to copy

Using the meeting summary below, draft a follow-up email from me ({name}) to {recipient}. Keep it under 150 words: one-line thank-you, decisions, their action items, our action items, next step with date. Match our tone. Do not add anything not in the summary.
Summary: {paste}

Replace the fields in curly braces (your name, the recipient), then paste the summary you produced a moment earlier.

When to use it

Right after you generate the meeting summary. It is the second link in a short chain: the first prompt sorts raw notes into a summary, decisions, and actions; this one turns that into a ready-to-send email. Together they turn fifteen minutes of writing into three minutes of review.

What you get back

1. An email under 150 words, in your tone.
2. A one-line thank-you, no filler.
3. The decisions, then their actions and yours, clearly separated.
4. The next step with its date, or “TBC” if the summary did not give one.

Real example: summary → follow-up email

Input: the summary of a call with Fernhill Coffee, the client of Brightside, an 8-person agency. Maya, who runs the agency, sends the follow-up. An excerpt from the summary, as-is:

decision: going with direction B for packaging, warmer brown
Priya designs 2 variants; client re-sends their brand guidelines
next check-in to schedule, slot not fixed

Output, the part that matters:

Hi,

Thank you for the call, it was clear and useful.

Notice what the AI did not do: it invented no date for the check-in, because the summary did not contain one. It wrote “TBC”. That is the prompt working, not failing: you set the date in ten seconds, and the email stays true to what was actually said.
